Position
Summary:
The Grants and Contracts Assistant (Fiscal Support Specialist) supports the Administration and Finance division with the post-award and contract accounting.
Duties related to this position focus on performing detail-oriented accounting work involving the classifying, posting, balancing, reconciling, and summarizing of financial transactions as they relate to federal, state, local, foundation, private grants, and contracts.
Duties assigned may vary according to the specific needs of the Division and/or allocation of workload.
Essential Duties and
Responsibilities:
Maintain a system of financial accounting, reporting, and record keeping in accordance to Generally Accepted Accounting Principles (GAAP), Government Accounting Standards Board (GASB), and Government Auditing Standards (GAGAS or the Yellow Book).
Assists Primary Investigators (PIs) and/or Grants and Contracts Accountant post-award and/or pre-award budget development and performs post-award budget revision reporting for grants.
Schedules and trains new PIs on accessing their grant budget reports.
Responsible for budgetary control and post award compliance with federal, state, local, sponsor, and university regulations.
Responsible for the invoicing and reconciliation processes related to funding drawdowns from external, federal, and state agencies.
Responsible for the monitoring of grant activity including cost overruns, cost sharing and unallowable administrative expenses.
Reconciles and prepares monthly and quarterly financial grant reports in according to generally accepted accounting procedures.
Prepares and maintains reimbursement expenditure reports for grants and reconciles monthly grant reports to funds received.
Maintains monthly shared spreadsheets for current and pending federal, state, local, foundation, and private grants.
Assists the Controller's office with auditor requests and processes.
Assists the Grants and Contracts Accountant with the preparation of the annual FISAP report and Single Audit.
Communicate with faculty, staff, and outside contacts to provide financial and accounting information and support as needed.
Maintain knowledge of internal control requirements.
Perform other duties as assigned, including but not limited to project and committee work.
Knowledge, Skills, and Abilities:
Associate's degree from a regionally accredited college or university in Accounting, Finance, or related field, and 1 year of general ledger accounting and grant accounting experience, or current academic studies progressing towards the attainment of an Associate's degree from a regionally accredited college or university in the above related fields of study.
Working knowledge in GAAP, GASB, and GAGAS governmental accounting practices.
Proficiency in Microsoft Office Suite.
Excellent written and oral communication skills.
A strong work ethic with the desire to work in a fast-paced environment.
A strong aptitude for and a demonstrated ability to develop and maintain positive and productive relationships with faculty, staff, partners, and stakeholders.
Minimum Requirements:
Associate's Degree in business, accounting, economics, finance or related field plus two years' experience in accounting, finance, program planning, grant administration or related field.
Preferred
Qualifications:
Bachelor's degree from a regionally accredited college or university in Accounting, Finance, or related field, and 1 to 3 years of general ledger accounting and grant accounting experience.
1 Year experience with GAAP, GASB, GAGAS, and governmental accounting practice.
One years of experience in restricted fund accounting.
Working knowledge of Ellucian Banner.
Working knowledge of the Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards (formerly OMB Circulars A-110, A-130, and A-21).
Work Location, Environment, and Physical Demands:
In an office environment, ability to sit or stand using a computer with multiple screens; ability to multi-task and take direction in prioritizing tasks; ability to answer multi-line telephone, take messages, and transfer calls.
Ability to navigate around campus and campus buildings to attend meetings, including days involving inclement weather.
